Facility Management: Improving Productivity and Quality
Choosing the right facility management expert means optimizing services, staying up to date with market trends, innovating, and enhancing the employee experience.
Discover how ARMONIA brings together 150 hosts and hostesses per event to coordinate welcoming, crowd management, and the guest experience across 26 sessions.
150 hosts and hostesses mobilized at each session. 26 events. 3,900 mobilizations dedicated to Hospitality and guest welcoming. While the artist creates unforgettable emotions, the quality of the experience also depends on everything that happens behind the scenes: preparation, coordination, anticipation, and the ability to maintain the same level of excellence night after night.
Behind a large-scale music residency, guests discover attentive teams, smooth flows, and perfectly orchestrated hospitality in dressing rooms, private lounges, and VIP areas. But they don’t always see the weeks of preparation, the briefings, the management, or the meticulous attention to every detail.
At ARMONIA, our job is precisely to ensure that nothing seems complicated. A successful experience feels natural because it has been prepared, thought out, and coordinated upstream.
And during a residency stretching over several weeks, one added challenge appears: you must remain at the same high level for every session, all while continuing to get even better each time.
An event of this scale doesn’t begin when the doors and lounges open. Three months before the opening night, our teams work with the venue’s management to anticipate needs, build the framework, and organize the different guest and VIP journeys. Throughout this period, a lockdown is in place to ensure the safety of spectators, providers, and artists on-site. Entry to the venue is tightly controlled with secure and individual access.
As each session approaches, the expectations are raised even higher. Access becomes even more tightly controlled, teams follow precise procedures, and everyone’s role is defined well in advance.
On the day of the event, the on-site organization unfolds step by step:
Strict confidentiality rules bolster this organization, including signing an NDA and restrictions on mobile use before the event opens.
This preparation highlights one of the essential aspects of our work: anticipating so the experience is smooth once guests arrive. The ARMONIA documentary brief summarizes this approach in seven actions: prepare, personalize, train and manage, welcome, orchestrate, adapt, and improve.
A welcoming experience is not limited to offering a warm greeting. It takes on a special dimension in Hospitality areas, where guests are often used to a very high level of service and attention. Their expectations focus as much on the quality of personalized care as on fluidity, discretion, and customization.
At every session, ARMONIA teams guide guests through various Hospitality areas with assignments adapted to each space:
Behind each mission are interpersonal skills, the right attitude, precise instructions, and constant adaptability.
Guests see a smile, a sign, or a welcoming gesture. We make sure everything necessary happens so that the interaction unfolds at the right time, in the right place, and in the right way.
Even within the same residency, guest profiles and expectations vary, the only common factor being a very high standard. Some will go to a dressing room, others to a private lounge or VIP area, and may benefit from more formal escorting.
Each environment has its unique set of rules. Attention to hospitality must therefore be tailored to the venue, the timing, and the individual guest profile.
The selection and briefing of hosts and hostesses are thus based on their ability to understand their surroundings, adopt the right attitude, and adapt their approach accordingly.
Experiences may vary, but the objective remains the same: make every guest feel fully valued and enjoy a bespoke experience. This requirement guides the selection, assignment, and preparation of our teams.
With 150 staff simultaneously present across Hospitality areas, success depends as much on individual strengths as on functioning as a single cohesive team.
Information flows, last-minute adjustments, on-the-job support, and resource allocation: coordination continues throughout the event.
The ARMONIA teams, event specialists, know that the unexpected is part of daily life. The goal isn’t to pretend it doesn’t happen, but to be organized enough to handle it without disrupting the guest experience.
This is where ARMONIA’s Hospitality expertise truly shows: combining preparation, management, operational agility, and an eye for detail to ensure consistently high-quality service.
With 16 sessions held in September and October, then 10 more scheduled in May, this exceptional residency will total 26 events and 3,900 mobilizations of hosts and hostesses around a single commitment: provide a seamless and expertly managed Hospitality experience.
The ARMONIA experience is built well before the first guest arrives. You don’t always see us. But our work is felt throughout your entire experience.
